Captain Tasks is built to feel familiar from the first visit. This guide covers the few things worth knowing before your team starts using it in Shopify Admin.

Start simple. Add more detail when you need it.

You do not need to configure a complicated system first. Create a board, add real work, and let the structure grow with your team.

Create a board

Use a board for a team, a recurring process, or a project. Give it a clear name so everyone knows what belongs there.

  • Open Captain Tasks in Shopify Admin.
  • Choose the plus button beside Boards.
  • Add a name and an optional description.

Add a task

Capture enough information for the next person to get started without having to ask what you meant.

  • Choose Add task or use the plus button in a board column.
  • Add a title, description, priority, due date, and tags when useful.
  • Attach supporting files up to 5 MB each.

Connect Shopify work

Create a task while viewing a product or order. Captain Tasks keeps the Shopify record linked to the work.

  • Open a product or order in Shopify Admin.
  • Choose Create Captain Task from the actions menu.
  • Use the saved link to return to the original record later.

Assign responsibility

Choose the person who owns the next step. Team members appear after they open Captain Tasks for the first time.

  • Select an active Shopify staff member as the assignee.
  • Set a priority and due date when timing matters.
  • Use comments for questions and progress updates.

Move the work forward

Every board follows the same clear workflow from Backlog to Done, so progress is easy to understand.

  • Drag a task to another column as work progresses.
  • Use search and filters when a board gets busy.
  • Review the activity history to see what changed.

Archive completed tasks

Keep active boards tidy without losing the details your team may need again later.

  • Open a completed task and choose Archive task.
  • Open Archived above the board to find it again.
  • Restore it with its comments, files, links, and history intact.
